Guest Post - Lefax Pocket Size.

Thank you to Nifty from Notebook Stories for this post.

In going through some the old supplies in my Filofax collection, I came across this packet of Lefax branded inserts. It made me curious about what sorts of pocket size organizers Lefax offered... but when I started digging into it, I couldn't find a single trace of Lefax pocket size organizers or inserts anywhere on the internet!

As Philofaxy readers will know, Lefax was actually the original Filofax-- the history is that they were an American company that started making ring-bound organizers in 1910. These were mainly used as handbooks of technical information-- you can see some examples in this eBay listing and in this Philofaxy post.

A British company called Norman & Hill started importing them in 1921, but then started selling their own organizers under the name Filofax. This may be why Lefax registered their trademark in 1926. Filofax registered their trademark in 1930, and the two companies co-existed until 1992 when Filofax bought Lefax. They used the name for a few years but eventually phased it out.

(Sad but sort of amusing: Lefax is now the trademarked name of a German pharmaceutical product intended to alleviate flatulence.)

Philofaxy's archive has a few old Lefax catalogs, but they only show the standard "personal" size organizers and inserts (95mm x 171mm page size) -- the only exception was something called the Lefax Soho, which was a small square format with only 3 rings-- as if you'd sawed a personal size organizer in half. It would not have been compatible with my inserts.

My Lefax insert packet contains the "One Cash Column" insert, with the reference number P5001 and the copyright date 1987. Philofaxy's 1988 Lefax catalog lists all their inserts including a regular "personal" size one cash column insert with ref #5001-- so it looks like "P" would be added to model numbers to indicate the pocket size version.

My inserts have hole punching to match both 4 and 6 ring pocket organizers. This is interesting because Filofax didn't start selling 6-ring pocket organizers until 1994. The 4-ring pattern allowed inserts to fit the 4 inner rings of larger personal organizers, but why would Lefax bother to make a smaller sheet if they didn't make smaller organizers? Did Lefax try to sell inserts for other brands of pocket looseleaf notebooks, and that's why it was 6-hole compatible before Filofax's own inserts were?

My Lefax inserts still have the sticker from when I bought them at a Rizzoli Bookstore in the early 1990s. It was probably about a year after the Filofax/Lefax merge, as the number "9311" appears on the sticker, which I think means the product was received in November 1993. The store seems to have labeled it as being the corresponding Filofax insert, so perhaps all the Lefax inventory was being absorbed into the rest of the stock at the company's warehouse, and they shipped this mixed in with Filofax branded inserts, intentionally or by accident.

The label also shows a number FKP420302. 420302 was probably the reference number used by Filofax for a pocket size single cash column insert. But although the 1993 catalog at Philofaxy and 1992 catalog show Journal Single Cash with reference numbers ending in 302 for Personal and Deskfax sizes, they don't show any availability of a pocket size version.

Within a few years, the single cash journal seems to have been phased out and only a double-column cash journal insert was sold until sometime between 2007 and 2010, when it stopped appearing in the catalogs. I couldn't find any mention anywhere of Filofax ever having offered a pocket size single cash journal insert-- the closest thing would have been an Expenses insert, #210605. I know Filofax's catalogs are not always 100% accurate vs. the actual products that were in the market at the time, but this makes me wonder if they just made up the reference number 420302 when they realized they had some existing Lefax inventory they had to deal with fitting into their product offerings?

I'm left with a mystery: did Lefax ever make pocket size organizers? If so, what happened to them? Why didn't their catalogs list any pocket size inserts? Why aren't there more references to them that have trickled down into today's wealth of images and data on the internet? I'm hoping someone out there in the Philofaxy community will read this and have their own pocket size Lefax show and tell to share with us!

Thank you Nifty, if you can shine some light on this Lefax Pocket size mystery, please leave a comment below.

Downsizing to Pocket

Recently I decided to downsize my planner from Personal size to Pocket. I started in the world of Filofax back in the 1980’s in Personal size and that has been my “comfort size” for literally decades. No matter what size organizer I've tried, in the end I have always migrated back to Personal size.

But my life has changed, as it does, and I am trying Pocket size (again).

I had been using Filofax One day on Two Pages in my Personal organizer at the start of this year with great success, but when my boss went out on maternity leave and passed most of her responsibilities to me, and then our Safety Manager was deployed and passed his responsibilities to me, my tasks and projects became too much for even two pages per day to handle. When I tried having a separate section for Tasks, I found myself with a case of 'out of sight out of mind' and some things ended up overlooked.

After doing some research, I decided to migrate all my tasks and projects to Apple Reminders. That way I could brain dump them all into one place and I could organize them by role and utilize the excellent organizational features of the app, like smart lists and tags, to keep me on top of everything. Now I have alerts set up as well, and I never miss a task because I can see them on my MacBook, iPad or even my iPhone.

With the majority of my day being taken up by task management and those tasks being removed from my planner, this allowed me to contemplate carrying a smaller organizer. I have always loved the idea of Pocket size for its adorable footprint and supreme portability, so I wanted to give it another try.

I have tried using Pocket before, setting one up as an out-and-about satellite planner, but it never stuck, and I ended up losing track of things when attempting to use more than one organizer. I’ve even tried using Pocket as my one and only planner in the past, but I have always failed to create a system that would work for me longterm because of my massive task list.

Until now that is!

Since I have essentially the same schedule during the week (regular office hours, set weekly meetings, etc.), when I took the massive amount of tasks and project timelines out of my daily planning, I discovered that pocket size was actually going to be plenty of room for what I need in my Every Day Carry.

The system I use in my pocket planner is as follows:

Month on Two Pages for a very high level overview of events. I also track my daily weight on the side. I have the entire year of monthlies in my planner.

Behind that I have Two Pages on One Day inserts, which I use for daily micro-journaling on the go (I do have a separate journal which stays at home, but I wanted some space in my EDC for little things I might forget by the time I get home). Here I jot down interesting things that happen during my day, maybe a particular bird I saw, or a funny thing that happened.

When at a loss for anything to write, I note down 3 good things that happened that day. I have one month (the current one) of these pages in my organizer.

Now onto the meat of my system, the daily pages. I’m using One Day on A Page, and I keep three months in my organizer on a rotating basis of last month, current month, next month.

On these dailies I note my schedule in the left column, and on the right, since I no longer have to worry about my overwhelming task list, I note what/when I eat and track my water intake. At the bottom of each page I also do some additional tracking; the weather, sunrise/sunset, my mood, sleep and blood pressure. I never would have dreamed that I could fit all that on a pocket size page!

Last but not least, I have a set of Cotton Cream A-Z dividers which I use as a portable filing cabinet for info and notes by topic  (medical info in the “M” tab, banking info in the “B” tab, etc.).

When I was using Personal size I had a lot of information in my A-Z tabs, but now anything that isn’t personal info, like quotes I’ve collected, notes from websites I wanted to remember, research notes and the like, I have digitized and put in Apple Notes. In my Pocket system, I only have the personal info I don’t feel comfortable digitizing in the tabs.

On a Vertical Year Planner I track paydays and bill due dates. Once a bill has been paid, I draw a hash mark through it, so I can see at a quick glance what I need to pay in each pay period.

I also have a Transparent Top Opening Envelope in the back to easily stash stamps, receipts, or small ephemera.

Those of you who know me, know I am utterly incapable of DIYing anything planner-wise (who remembers the time I punched the wrong side of an entire year’s worth of inserts that someone had nicely printed for me?!), so I need a system that I can easily and reliably purchase every year and just stick in my planner without having to fiddle around. Luckily, Filofax USA had everything I needed to create this system and since I have been Plannering for *cough* 40 years, I have a nice selection of pocket organizers from failed attempts at the size over the years.

This system will remain the same no matter the organizer I decide to put it in, and I have to admit I am thrilled that it is working so well for me. At the date of this writing, I have been in Pocket size for roughly three months, and I like it more and more the longer I use it.

The small size keeps me focused on only what is truly important. The rings aren’t huge, so it forces me to be aware and clean out anything unnecessary that I’m carrying around in my organizer. The page size is small so it forces me to choose my words carefully and be succinct. The pockets are small, so I don’t lug around tons of papers that I’ve forgotten why I have with me anymore.

Pocket size has become an exercise in being present and more mindful in my planning process.

Do you use a Pocket size organizer? How have you managed to fit everything you need in a small space? Do you have any tips or tricks to making a Pocket system work for you long term?

Prototype Inserts for Personal and Pocket Size.

Following the release of a new insert recently for A5 organisers. I had a couple of people request something similar for Personal and Pocket Size.

Given that we already have similar inserts in those sizes (2.5.1 and 3.4.1) I realised already that there wasn't a lot we could do in those sizes apart from reverse the pages, so with the tasks on the left and appointments on the right.

Personal Size

Pocket Size

It would be possible to redesign the tasks page and divide it up differently, but I suspect everyones requirements are going to be different. Therefore as usual we are making the source files available so you can 'have a go' yourself!

These like the original files are printed on to A4 paper, then you can cut out the pages and punch them accordingly.

I've also created a set of files for 2024 as well.

These inserts aren't going to be added to the diaries page just yet because I don't think there will be a huge demand for them?

The 2024 files ready to print are available here:

The source files are here for both sizes. You will need both the Word and Excel files.
