Using an A4 organiser on a daily basis

Could increasing the size of your organiser and therefore using fewer pages reduce the weight of the organiser compared to the A5 organiser you have been carrying around all year?

It might seem a bit of a bizarre suggestion, but think about it.

Filofax A4.. I realise this isn't a popular or common size for a lot of our users, but I thought I would look in to the pros and cons of the size.
  • Big - yes but that might be an advantage if your hand writing is difficult to read on the smaller sizes As they are so big they will take up a lot more desk 'real estate' compared to an A5;
  • Paper commonly available, well in Europe that is;
  • Templates already in this size, I create my templates in A4 format and then reduce them to A5;
  • Limited selection of diaries and inserts, for some people this might be the 'show stopper'. However, all of the Philofaxy A5 diary inserts are created in A4 size, so these can easily be used;
  • Common hole spacing ISO838? The 4 holes are 8cm apart. Four hole punches are quite cheap;
  • Possibly thinner than an A5 so less bulky. If you are used to using a Week on Two pages inserts, then with the increase in page size you might easily be able to use Week on One page in A4 size;
  • Price wise they often come up on offer, so may be about the same price as an A5;
  • Lots of card slots! But I wouldn't suggest using one as a wallet!!
  • Not available in the US, mainly because of the paper size I suspect?
  • A lot of people in business carry A4 folders around, so an A4 Filofax won't look too out of place.
I have just the one A4 Filofax, an A4 Classic. I have used it a few times, but I find it a bit too big to leave open on my desk.

Our friend and fellow A4 user Neil aka 'Flatability' has recently shared an excellent video about his A4 Lyndhurst Zip organiser:

Also Graham has also done an A4 Filofax Domino review here.

You will find plenty of other videos about A4 Filofax organisers here.

Are men more likely to use an A4 Filofax?

If you have used an A4 already we are of course interested to hear your views in the comments.

My Mum's A4 Graphic - by Anita

My Mum has never been very good at organising her paperwork (I started helping her with it when I was a kid), so when I found a cheap grey A4 Graphic on eBay, she agreed that it could be a useful purchase for her.

I normally prefer leather binders, but I think that the microfibre and faux leather is better, in this case, as it helps to reduce the weight in such a large size.

On the back exterior, there is a full length slip pocket. You wouldn't be able to fit much in it as it's quite tight, but it could be handy for any paperwork that you need quick access to, or as a reminder to do something.

On the inside, you have a number of credit card slots, a smaller slip pocket, two full length slip pockets and space for a notepad. Again, the full length slip pockets are quite tight, so not as useful as they could be as they're not easy to get into.

The Filofax came with a flyleaf and a number of inserts, including expenses sheets, to do list, A to Z and a notepad.

For some one that normally uses personal size, the page sizes seem enormous! (one of my current to do lists for comparison)

Once it arrived, I suggested that Mum started keeping any hospital appointment letters under H in the A to Z.

Initially she started doing this, but ultimately I'm so involved in helping to care for her that it became obvious that it was easier for me to keep her paperwork for her. I did seriously consider setting up the A4 properly for this, but from a practical point of view, it's just too large to want to carry about with you. When she used to have regular appointments, I would pack a bag with my book, snacks for both of us, water bottle, reusable coffee cup etc. I certainly wouldn't want to also be carting about an A4, especially when we might be sitting in a crowded waiting room.

Instead of using the A4, I just have a Mum section in my Kensington's A to Z and any appointments letter are kept in a plastic popper wallet in date order.

Sadly, it means the A4 has been abandoned and is sitting in my Mum's cupboard. I have considered borrowing it for work, but as I have a much smaller desk at home, I think that A5 would be easier to use with less space.

Why not check out the A4 Filofax range it is a bit limited these days. However, Van der Spek also make A4 Writing Cases with ring mechanisms in them. They are shown on their old website, if you are interested in to know what they have available it is best to email Petra.

I have just the one A4 Filofax, an A4 Classic. I have used it a few times, but I find it a bit too big to leave open on my desk.

Raspberry A4 Filofax review

I previously owned a black A4 Strata Filofax some years ago, but came to the conclusion that I just didn't like the hard bonded leather and sold it.

I suppose that I still occasionally wonder if A4 would be better, but the cost and previous lack of colours other than black put me off. The A4 Finsbury has been available in the raspberry colour for some time now, but it's always been a bit too expensive for me. Thanks to Amazon, I managed to pick one up recently for nearly half price and thought that seeing one in the flesh would finally put my mind to rest on the matter!

On its arrival, I was a bit disappointed as it was packed between two flimsy pieces of cardboard in a plastic bag, with only paper for padding in the box. The poor strap had taken a bit of a battering and I think that Amazon could learn a lot from Steve about how to properly pack a Filofax for postage.

My first thought on removing the Finsbury was that this raspberry is not the colour of the fruit, as it's more of a pink/purple colour. On the Filofax site it is described as 'textured rambler print leather with hand finished colour'.

On the left hand side, there are four card slots, one mesh ID window, a leather pen loop, two full depth slots and a full length slip pocket behind. Sorry, I forgot to take a picture without inserts, but there is a notepad pocket on the right hand side and another leather pen loop. The ring mechanism is 25mm, and the spacing means that you could use a normal four hole punch.

The ring mechanism is 25mm, which somehow seems small as some A5 have 30mm, but I suppose that it keeps the A4 Finsbury a bit slimmer. Unsurprisingly, this is a fairly heavy binder, but I think it would be great for use at work or to keep at home.

I used a purple mini Finsbury as a wallet some years ago, but don't really have much experience with this model. Looking more closely at the leather, the finish almost reminds me of a leopard's spots, with some more faded areas which I think add a bit of interest. If I was using an A4 for work, I would happily get this out in a meeting as I feel that the colour would still look professional enough for me.

My personal Malden looks quite small in comparison.

Looking at some previous polls on 'what size Filofax organisers do you own?' in 2009 and 2011, it seems that the A4 isn't that popular when compared with other sizes. To be honest, it didn't take me very long to make my mind up about whether I would be keeping the Finsbury, and I have already returned it for a refund. Ultimately it's just a bit too big and it's helped me realise that A5 is perfect for when I want more space for storage, planning and organising projects. I can easily use an A5 at my desk with space to spare, and it wouldn't be too cumbersome if I wanted to take it to the library etc. However, I'm glad that I've had the chance to see one of these in the flesh to decide, and to be able to write a review to share it with you. Steve has also written a great post about his A4 Classic here for anyone that might be considering trying out this size.

Dodo Pad - Universal A4/USA Letter Size Acad Pad Review

[Full Disclosure: Dodo Pad have sent Philofaxy this sample to review free of charge, we did not pay for it. However we have not let this 'free gift' influence our review of their product.]

You might already be familiar with the Dodo Pad inserts and diaries, Laurie has reviewed them several times before. I will try not to repeat what has already been said about them.

This however is a new format of the Dodo Pad diary which is now available in a new 'Universal Size'. It's almost A4/US Letter Size, but not quite... it is in fact US Letter height (11 inches) but European A4 width (21cm), sort of a best of both worlds I suppose.
So inside it's like any other Dodo Pad, just bigger...

Each right hand page is a week per page, with a grid of five columns and the left hand facing page has room for notes etc. with a quote and artistic design like this:

The grid stays the same throughout, but each week is different; with different cartoons/quotes in different colours - all printed on high quality paper.

Here's a sample of a week filled in:

There are of course several ways of using the five columns; for instance use it for a family diary and have each person in a different column, great for Mums and Dads with kids that need to be at different places at different times etc. Or it works just as well for one person who wants to fill the columns with different times of the days or make task lists.

This particular sample (Acad-Pad) is for the academic year so it runs from August 2012 to the end of August 2013. There will also be a conventional January 2013 to December 2013 Dodo Pad in this new ‘Universal’ size that Lord Dodo tells me will be available in June.

In addition to the weekly sheets there are year planners included with monthly pages for this year and the following year and a timetable page.

As much as this product is a serious planning tool to help you remember important things to do and record things you have achieved, there is a definite fun element running through the whole design. To do's, planning, appointments etc don't have to be boring.

One of the things you will also notice is all those holes! 7 of them to be precise. Now, there's a bit of a story behind why it has so many holes, and it goes something like this.....

One evening Lord Dodo called me up on Skype and after the usual initial pleasantries we got in to discussing the A4 Filofax…

LD: Do you have one?

SM: Yes of course!

LD: Do you think that a Dodo Pad would work in that size?

SM: I guess so, there is no reason why not, more space in each box etc.

Then came the crunch statement...

LD: We want to sell it in the States....

SM: You know that Filofax don't sell the A4 Filofax in the USA…

Silence...

LD: OK, so they can use an ordinary 2 ring or 4 ring binders instead....

SM: They don't sell those either... in the US... only 3 ring binders... but the spacing is different

LD: Ah ok.... what is the spacing...??

At which point I declared myself the 'Filofax Hole Spacing Standards Expert' a rather boring skill set as you can imagine. But in the world of stationery if the holes in your paper don't match the spacing between your rings then you have an incompatibility issue....

Anyway the long and the short of it is, that this special Universal format has two sets of holes, 4 holes for 2/4 European Rings (including A4 Filofax) and 3 holes for the US 3 ring binders. The compromise on paper size ensures it will fit either binder.

Here are some pictures to show how it fits in either variety of binder.

If you want to discover more about Dodo Pad products then visit their website to see the full range of planners and other fun products.

Thank you again to Lord Dodo for letting us see this new product.

Diary Inserts for 2012 - Part 3 - Filofax A4/A5

So in Parts 1 and Part 2 I listed a variety of other brands of diary refills, which will fit your Filofax organiser. In this part I am now going to cover Filofax themselves, so the size and hole punching isn't an issue, we know they will fit!

I am going to go through each size in turn and point out some of the differences between the different styles and also highlight some of the inserts not available on the UK site.

A4 size: The A4 is the biggest page size in the current range measuring in at 297mm by 210mm and given all that page space there are surprisingly few Filofax diary inserts. There is a week on two pages, which still makes Saturday and Sunday share a column.

Then there is a Day per Page Business style which is the same layout as the one I have been using in A5 format:

And finally a vertical year planner:

The A4 organiser isn't available in the USA and unsurprisingly they don't stock diary refills either.

If you find the choice in this size a little limiting then look out for some of the Print Your Own solutions coming up in later part of this series. A4 is obviously a very easy size to print your own diary and other inserts, so if you want the ultimate customised solution then that might be your best course of action.

Deskfax size:  The Deskfax size is 250 x 176 mm and although Filofax discontinued the organisers some years ago, they still sell diary inserts for this size of organiser. The rings in the Deskfax are three sets of three rings spaced in such a way that a Filofax Personal page will fit either the top and middle set of rings or the middle and bottom set of rings.

For the Deskfax size Filofax currently offer Week on Two pages, Week on Two pages with appointments. Day per Page in 5 language format. There is also a vertical format Year Planner.

Are there many Deskfax users out there still?

A5 size:  The A5 size brings us more in to the main stream of sizes that most people tend to use and even carry around. The page size is 210 x 148 mm and the binder has two sets of three rings.

Most of us will be familiar with the week on two pages format in the A5 size, it roughly splits in to a column layout with appointment slots for each week day with Saturday and Sunday sharing the final column, this layout comes in English only or a five language version.  There is also a standard non-appointment based lay out which gives equal space to each day in English only.

If you like a lined format. Then take a look at the Filofax Denmark site at this insert:

In week per page you can either have just the standard non-appointment equally spaced days format on one page or the same layout but with a facing notes page.

In day per page there is the appointment based layout or the business style layout, which is the one I've been using recently, it includes different task areas and reminders for each day. Saturday and Sunday are combined on to a single page in both of these layouts.

There are also Month on two pages and year planners in both horizontal and vertical formats.

Most of the above formats are available at all of the on-line stores

Another format that isn't so obvious from the on-line catalogue is the A5 Time Management Week per View layout. It splits a two page layout in to action points, reminders, expenses, time plans and activities.

There is also a Day View Time Management (2 pages per day) layout also in A5 size. Warning 12 months in this format is a lot of paper and you will not get a full 12 months in any of the A5 organisers!

Both of these layouts come as part of a Time Management Annual Update set which also consists of additional pages for Project plans, Year plan, and Monthly plans.

Although there are some slightly different versions of the standard layouts available in some of the other on-line stores they are only local language variations in this size. It should also be noted that all A5 refills are currently only available in white paper.

The A5 Family Organiser pack is still available on the USA Filofax site. This is more than just a diary refill, but worth mentioning here I guess. These are also available as a complete A5 family organiser package of the organiser and the pack.

In the next part of this series I will be exploring the various Personal size refills, the personal size has quite a variety of options to choose from. Until next time....

A4 Filofax punch?

A4 Filofax users, what hole punch do you use to put pages into your Filofax?

There has been a lot of discussion here on Philofaxy about hole punches for the A5 size pages, but what about A4? On Filofax UK's website I see a portable hole punch, but surely this isn't the only way to get A4 pages into your Filofax?

It would be very useful to punch work documents and other pages to insert into your Filo, but I know regular binders are for 2-hole punched paper. Surely there is a good quality punch out there to put pages into your A4 Filofax?

Changing your set-up

There's always a danger when you change your Filofax system that something won't quite work as you thought it would.

I've been using my A4 as my desk planner since Christmas, along with my Pocket as my wallet and carry around Filofax, I have to sync both together on a regular basis. But I'm used to doing this. Previously my A5 was my desk planner.

However, as you might have suspected the A4 is great on your desk, but you aren't likely to want to carry it around, even around the house. With my A5 I would keep To-Do lists in it that I was only using at home, so it wasn't a big problem to take it upstairs or to the bedroom if I was putting together my next clothing shopping list, or putting together some notes on reprogramming something.  So far I've not really used the A4 for To-Do lists, it really is too big, but it's great as a desk planner, clear and plenty of space for the busiest of days.

With my Pocket, my To-Do lists tend to be things for me to do or remember to buy when I'm out and about, so the two sets of lists are never totally in sync there might be odd items that are duplicated. If I transfer an item from one list to another I tick it off as completed on the origin list.

So this week I came up with an idea to bring my Finsbury Personal Slimline back in to regular use as my at home notebook and To-Do list. It still has my photographic notes in the back so it gets tucked in to my camera bag when we are out photographing houses. The majority of the time it sits comfortably next to the A4 on my desk and the two are working well in tandem.

The Slimline as I discovered will hold between 100-120 pages, so there is plenty of space for a great range of notes and lists etc.

Print your own A4 or A5 Diary and Year Planner for 2011

We are approaching the end of the year. If you haven't decided yet on which diary format to use next year, may be you would like to try something you have printed yourself.

Earlier this year I did a post about printing your own calendar from within MS Outlook.  If you are printing for A5 format then you will find my post on booklet printing essential reading.

Whilst researching diary options for my new Filofax Classic A4 organiser, I came across a site that you could create your own printable diary in A4 format. These will also booklet print to fit A5.

So I have created a few different formats to try out. They are all a week on two pages with the days in vertical columns. The differences should be self-explanatory. I've done them in hourly and half hourly appointment intervals, and with appointments between 08:00 to 19:00 or 08:00 to 21:00. Each one has a notes column on the right hand side and To-Do areas for each day at the head of the each column and a blank notes area at the foot of each day column. Using the shorter appointments span just gives you more space at the foot of each day column.

I've put links to the files in the Philofaxy Files area as well as the foot of this post.

If you would like a slightly different set of appointment times or a reduced number of To-Do's please let me know.

2011 Print Your Own Diaries

11 December 2010

Big can sometimes be beautiful as well....

We have seen and reviewed many A5 Filofax Organisers over the years, they come in a variety of styles and colours. I'm sure most enthusiastic Philofaxers own one organiser in A5 size.  But you can go bigger than A5, well in Europe at least. Sadly the A4 isn't sold in the US and you really are missing out folks.

I proudly present to you my latest Filofax acquisition, (roll of drums) the Filofax Classic A4 Organiser..... in black Italian Leather.

Yes it's the big one... paper size is 297 mm by 210 mm or put another way twice the size of an A5 (210 x 148 mm). And to show you the difference here is the A4 alongside my Finsbury A5.

The A5 looks almost Personal size and the A4 like A5 in the above picture... but to show even more of a comparison. Here's the three together.

There is a sutle difference with the A4 compared to other Filofax organisers, it doesn't use the 3 + 3 ring combination. Instead it is just a standard 4 ring organiser with the rings spaced at 80mm apart. So stationary and punches are cheap as chips. I bought a 4 hole punch in my local supermarket for €10, it is of metal construction and should serve me for a few years. Paper is also available off the shelf in most stores.

The inside cover has 6 card slots, a 3.5 diskette slot (how quaint!) and a CD slot, as well as a full height pocket behind the slots. There are two pen loops, one on the front cover and one on the back.

As you will see in the pictures below, the standard fill it comes with size is just like any other size... but everything is just bigger and has lots of space to write things in. They haven't attempted to add more lines in just give you more space to write in instead. And the rings don't get in the way at all.

A two page per week in vertical format came with the organiser, as you can see plenty of room for appointments and notes/to-dos each weekday. It's in multi-language format but that doesn't waste too much space on this size of page!

The address pages give you plenty of space for 4 or 5 phone numbers in addition to Name, Contact, Address and Email Address. The inclusion of contact I suppose shows that it's intended for business use.

The To-do page is a slightly different format to others I have seen, two lines per item, so plenty of room to write quite detailed descriptions, I often struggle to work out some of my slightly cryptic notes in my other to-do lists!

Very detailed expenses pages, something I'm not a frequent user of at present.

Some ordinary ruled note pages.

Inside the back cover there is a A4 writing pad.

I will adding some plain paper for sketches and drawings, as well as some reference information I have in my A5 but it will be printed full size rather than reduced size.

So you must be wondering....why??? Well I have my reasons for buying this organiser.. please note the word 'excuse' was not used...!!

When I wrote a post about the A4 size back in September, I wasn't trying to justify purchasing one myself at the time, I was just exploring how that size would work for me and others. After that was posted I heard of at least one Philofaxer trying out the A4 for her work organiser and she loved the fact that she could print things off without fiddling around with booklet printing and cutting pages, it was print, punch, place in organiser.. job done. So my post had convinced one person.

In our what size do you own poll in November last year, the A4 only got two votes out of the 164 cast!

When I saw an A4 at the Neal Street Store the other week, I suspect it was a reminder and it got me thinking again.

Another reason for buying the A4 was to own one to try it out and to share the experience with you the readers, I think to add credibility to any post about this size you have had to had owned one and used it, and the same goes for any size I suppose. So I guess it was a fore (pun intended!) gone conclusion that I would buy one this size eventually.

Am I actually going to use this one? I think so, it fits the space on my desk to my left normally occupied by my A5 so I will be giving it a try that's for sure in the New Year. Since ordering it I've found some very nice diary templates on line too!

One amusing idea that I've not tried with the A4 yet. You might recall my lesson in origami on how to fold an A3 printed map in to an A5 organiser. Well A3 will fold in to A4 very easily in the same way that A4 folds in to an A5 organiser... but how about A2 in to A4... truly huge!! A2 is 594 x 420 mm, the size often used for building plans! Not something I will have a need for, or a printer to print that size.

So far I've not said anything negative, which you might find a little false. Yes the A4 is big but not that bulky, it has 25 mm rings, where as my A5 Finsbury is fitted with 30 mm, I will get the scales out to compare the weight once I've added a few more of my own pages, the comparison wouldn't be valid at the moment.  The number of pages available for the A4 from Filofax is a little limited which for some people might be a downside. But given the ease of being able to print off your own pages for this size then this limitation isn't so much of a problem.  I will give an honest up date on the A4 once I've had a chance to use it for a few weeks.

Yes the Classic is quite expensive to buy, but there are cheaper A4's in the range. I love the detail in the finish of the Classic and I would love this model in smaller sizes too!

I look forward to reading your comments, good or bad.. !!
