Adspot on Philofaxy

What is Adspot on Philofaxy?  It is a page on Philofaxy where readers can post their Wanted and For Sale adverts. Not directly, but via Steve who will get your photos and text on to the page.

Yes the page has been empty these last few months.... but not at the moment. It is full of some excellent organisers that are seeking new homes.

Please visit the page today and snap up a bargain. Full details on the page on how to place an advert.

Thank you.

Buying and Selling Organisers

There are so many more places these days to buy and sell organisers. Each has its own advantages and disadvantages as well as successes and risks.

In the last 10 years or so I’ve been involved in a few of the sales groups on Facebook as well as looking after our own Adspot page here on Philofaxy.

Through that experience I have seen a lot of things that have led to issues with sales. To make sure these issues don’t reoccur we have had to revise our guidelines and rules, these are to protect both parties, the seller and the buyer.

If you are selling on Facebook or any other site make sure you follow the rules of sale on which ever site/group. On Facebook we have tried to make the rules similar on each of the planner sales groups, but there might be some minor differences.

Always take plenty of photographs of the item, showing all sides of the planner, front back and inside and out. Include a name and date tag somewhere in your photos, this proves you own the item you are selling and when the photos were taken.

Remove all paperwork from the pockets and move the name/date tag to different parts of the planner so that you might repeat some photos with it in different positions.

Make sure the photos you submit are the correct way around, you don’t want potential buyers (and the admins) getting neck ache looking at your photos.

In the description of the article include details such as smell, is your house a smoking house as leather absorbs cigarette smoke very easily and it is impossible to remove. Likewise if any perfume has been sprayed on the item or pets have been near the item. Note it all in your advert.

Try to include details like you have owned it from new. If you have the original sales invoice include that in the sale, this can be a requirement if there is a warranty from the original supplier.

Be careful about using phrases like ‘Brand New’ ‘Never used’ especially if your photos show otherwise.

Point out any known defects in the leather or the rings, any pen marks etc.

As a seller if you have someone interested in your item check out the buyer as much as possible. Before they have paid you ask them for their name and address. Check out that address, make sure it actually exists, that it isn’t a forwarding service or similar. These can be problematic if the item is damaged in transit between the destination address you were given and the real address of the buyer.

Remember PayPal tends to side with the buyer not the seller in any disputes and so you can lose not only the item you have posted but also your money.

Always over pack the item with plenty of padding around the organiser, remove any inserts from the rings, use a strong box not just a paper/plastic wrapping. Yes it might cost a little more, but you should reflect the true cost of postage and packing in your price of the item.

Take photos of the item as it is packed, and send them to the buyer so they can see how to get in to the package when it arrives! People must curse me when they receive one from me, I was trained by the UK Foreign Office…. don’t you know!!!!

Buyers…. When you receive a parcel inspect the package before you sign for it. If it is damaged or wet do not accept it. Don’t be tempted to open it, doing so counts as accepting it in what ever condition it is in and voids the insurance on the item.

When paying via PayPal always pay via Goods and Services. Yes the seller will have to pay a small fee, but you gain protection should the item fail to arrive or is damaged on arrival or not as described. You lose all of that protection if you pay by ‘Friends and Family’ It is important that the seller pays the fees, they can’t ask the buyer to pay the fees on top of the item price as it is against the PayPal terms and conditions to do that.

Timely communications help both the buyer and seller. Don’t advertise something if you are about to go away on holiday and you don’t have the item with you! Delays in replying lead to suspicions that the buyer has been scammed. Keep your communications simple, remember the other party might not speak/read your language.

The overall success of your sales is dependent on many factors. Get it right and your item will sell quicker than you imagined, you will not be stressed out by the experience and you will get a great item for the money or the money if you are selling to spend on another item.

Good luck.

Selling on Philofaxy

Selling an organiser on the Adspot page on Philofaxy is fairly straight forward.

All you need to do is email  philofaxy at gmail.com with the photos of the item and the text, we will get it on the page for you within a few days.

Make sure the photos show all sides of the item, inside and out. That you include photos of any defects, scratches etc in the leather.

In the text you need to include a full description of the item, price, where you are willing to ship to and your location so that people can have some idea on the cost of shipping.

We generally put adverts on the page for three months but occasionally longer depending how many adverts are currently running.

You can also advertise for 'Wanted' organisers, ones that you missed out on etc!

We don't restrict brands to just Filofax, other brands are welcome.

Where can I buy.......

I often see messages on Social Media that start with 'Where can I buy....' followed by a long discontinued Filofax model.

Sometimes you can get lucky and you can find a 'Brand New Still In Box' (BNIB) example of the model you have been scouring the internet for. Other times you will be a little disappointed for various reasons.

The model you are looking for, was may be only made or sold for a year or less. They might not have withstood regular use unlike others that can look like new even 20 years or more old.

So the examples you might find for sale might be a little worn at the corners or not have perfect condition covers, but in some cases that can add 'character' to an organiser, which some people prefer.

If you do discover the particular model/size you are looking for, don't get too keen and start offering silly amounts of money for it. Do that and the seller might start to realise that this 'old dusty organiser' that has been sat on their book shelf for the last decade is worth more than they paid for it all those years ago!.

I have put a Wanted advert on our own Adspot page and had reasonable success finding a couple of organisers I 'missed' when they were on sale. One was my A5 Chameleon in black that I bought for a reasonable price and it was literally brand new and still in the original packing with the original inserts still in place.

So it is possible to 'get lucky'

To post a Wanted advert, just send me an email: philofaxy at gmail dot com and give the details of the model you are looking for (any brand) include what country you are in so the seller can estimate the cost of shipping and your contact details.

Good luck in your hunting.

Buying and Selling through the Philofaxy Ad-Spot page

From time to time I'm sure you all look at your little collection and think... I should really sell that organiser...it is only gathering dust on the shelf and I really fancy that new colour/model that Steve has been 'enabling' about...

Well Philofaxy is here to help sell your Filofax and other brands of organisers and accessories... is this negative enabling?

There are a lot of hints and tips as well as other information in this post, I apologise if some of it is common sense... but well you know.....

We have our Ad-spot page for readers adverts, firstly here are the rules for placing ads on the page:
  • Preferably Filofax and other ring bound planner items only please... obvious really!
  • No parallel Ebay adverts, if you have put it on Ebay, then please don't ask us to advertise your items as well.
  • We are serious when we request that you donate to our chosen charity, so please consider giving some form of donation if you are placing an item on the Ad-spot page.
Consider what it would have cost to sell on Ebay, Philofaxy is visited by more than 1400 people every day... and they are an informed and targeted audience.
  • Adverts will be on the page for no more than a calendar month, if it hasn't sold in that time it will be removed.
  • Please tell us when your item has sold so it can be removed from the page.
  • Once you have received the funds please despatch the item within 5 days. Don't accept the funds and leave it for 3 weeks, people tend to think they have been scammed when people do that. Inform the buyer when you have despatched the item include the tracking number if there is one.
  • If we get reports that you haven't responded to enquiries we will remove your advert immediately.
  • Please put the text of your advert in the email exactly as you want it to appear, keep it concise and to the point, Steve will possibly reformat it, but he baulks at rewriting adverts from sketchy details.
  • The seller is responsible for paying Pay Pal fees, prices should include fees and buyers should pay via the Goods and Services option not Friends and Family option. This is to protect the buyer in case of any loss.
  • Remember you are entering in to a private sale between the buyer and seller, Philofaxy can not take any responsibility for the transaction going wrong in anyway.
So those are the rules, nothing complicated and all very fair.

So what to include in your advert. Please make your advert as clear as possible, it should include:
  • Details of the Model, size, colour, age if you know when it was originally bought
  • Your location so an estimate on the cost of shipping can be estimated. You only need to go to country level.
  • Condition, is it new, never been used, been in daily use, well used, broken in etc.
  • What is included in terms of inserts, diary inserts etc.
  • Where you are willing to ship the item to.
  • Your contact details, an email address.
  • Smoking household or not. There is nothing worse as a non-smoker about receiving an article that stinks of tobacco smoke, this is nearly impossible to get rid of.
  • Some photographs, but please limit it to two photos per item. Please email these with your advert, or alternatively send us the links to your pictures. For better pictures please read this post on how to improve your pictures of Filofax Organisers.
  • If you are taking your photos with your iPhone or other smart phone or tablet device, be aware that all the file names will be the same... and Steve will not be exactly pleased trying to sort out the pictures against the different items when he receives your request... transfer them to your PC and resize the pictures and rename them before emailing them as attachments with the text of your advert. Pictures don't need to be bigger than 1600 pixels on the longest side.
  • And price.... we can not handle auctions so the price has to be a fixed price.
The price... I'm often asked 'how much should I ask for an xyz in Personal size'... I'm not the Quentin Wilson of the Filofax world, but here is some suggestions/tips on pricing...
  • You can set the price to what ever you want it to be, I'm not going to stop you.....but......
  • If the item is new but you have never used it, then I would suggest 15% -20% under what you paid for it. Remember the buyer might be able to buy one for same or less than the price you paid. If you have to add the price of shipping on top of the cost and remember some retailers offer free shipping. Look around at the prices that that item is available for, not just what the price is on the Filofax UK or USA site. We have all seen grossly inflated prices on Ebay for items... that didn't sell!
  • If the item is used or may be not on current sale, then take a look at Ebay and look at completed sales to see what the average price has been on that particular model/size in the past.
  • If you want the item to sell quickly be prepared to allow for some bargaining on your price.
  • Sellers must quote on the basis that they will be paying the Paypal fees and that buyers using Paypal will be specifying that they are purchasing goods.
When you have agreed a price for your item and you start to receive enquiries via Email, please try to answer them promptly. We suggest that you do any money transactions via a secure method, PayPal generally seems to work very well these days, it's very quick and secure.

Only use the paying for goods and services method of sending the funds, the receiver will be paying a small fee, but the consumer rights of the sender of the money are far more secure in case there are problems with the transaction.  To send funds you don't need to have a Paypal account yourself, you can pay with a credit or debit card

When you come to despatch the item to your lucky buyer, do be careful and pack your Filofax organiser well. Plenty of padding inside and outside of the organiser, I've repaired one or two and advised on others where they have become damaged in transit. Straightening out the ring mechanism after it's been trodden on is not easy! Read this post for details of how to pack your organiser. But still consider getting insurance on the parcel.
  • Shipments made with standard postage, without tracking or insurance are “seller’s risk” – if the item does not arrive, sellers are expected to refund all money.
  • If the seller wants to use insured or tracked postage that the buyer is unwilling to pay for, then the risk of lost items shifts to the buyer.
  • Sellers must respect requests to use a premium shipping option (tracked, expedited, insured, etc.) that the buyer is paying for.
And once your sale is complete.... don't forget to tell Philofaxy of the completed sale so the advert can be withdrawn, we will acknowledge your instructions. Make your donation to Chimwemwe at this point as well.

For Wanted adverts things are a little bit simpler, you just need to specify the model, size, colour  and your contact email address. May be include your country location. Again format the text of your advert as you would like it to appear. Wanted adverts are currently shown on the page for 2 months.

All that is then left to do is to sit back and decide..... now what Filofax can I buy to replace the one I've just sold..... Enable Enable.... well there is a space on that shelf isn't there....

Selling and Buying via Philofaxy Adspot

Consider what it would have cost to sell on Ebay, Philofaxy is visited by more than 3000 people every day... and they are an informed and targeted audience.
