Buying and Selling Organisers

There are so many more places these days to buy and sell organisers. Each has its own advantages and disadvantages as well as successes and risks.

In the last 10 years or so I’ve been involved in a few of the sales groups on Facebook as well as looking after our own Adspot page here on Philofaxy.

Through that experience I have seen a lot of things that have led to issues with sales. To make sure these issues don’t reoccur we have had to revise our guidelines and rules, these are to protect both parties, the seller and the buyer.

If you are selling on Facebook or any other site make sure you follow the rules of sale on which ever site/group. On Facebook we have tried to make the rules similar on each of the planner sales groups, but there might be some minor differences.

Always take plenty of photographs of the item, showing all sides of the planner, front back and inside and out. Include a name and date tag somewhere in your photos, this proves you own the item you are selling and when the photos were taken.

Remove all paperwork from the pockets and move the name/date tag to different parts of the planner so that you might repeat some photos with it in different positions.

Make sure the photos you submit are the correct way around, you don’t want potential buyers (and the admins) getting neck ache looking at your photos.

In the description of the article include details such as smell, is your house a smoking house as leather absorbs cigarette smoke very easily and it is impossible to remove. Likewise if any perfume has been sprayed on the item or pets have been near the item. Note it all in your advert.

Try to include details like you have owned it from new. If you have the original sales invoice include that in the sale, this can be a requirement if there is a warranty from the original supplier.

Be careful about using phrases like ‘Brand New’ ‘Never used’ especially if your photos show otherwise.

Point out any known defects in the leather or the rings, any pen marks etc.

As a seller if you have someone interested in your item check out the buyer as much as possible. Before they have paid you ask them for their name and address. Check out that address, make sure it actually exists, that it isn’t a forwarding service or similar. These can be problematic if the item is damaged in transit between the destination address you were given and the real address of the buyer.

Remember PayPal tends to side with the buyer not the seller in any disputes and so you can lose not only the item you have posted but also your money.

Always over pack the item with plenty of padding around the organiser, remove any inserts from the rings, use a strong box not just a paper/plastic wrapping. Yes it might cost a little more, but you should reflect the true cost of postage and packing in your price of the item.

Take photos of the item as it is packed, and send them to the buyer so they can see how to get in to the package when it arrives! People must curse me when they receive one from me, I was trained by the UK Foreign Office…. don’t you know!!!!

Buyers…. When you receive a parcel inspect the package before you sign for it. If it is damaged or wet do not accept it. Don’t be tempted to open it, doing so counts as accepting it in what ever condition it is in and voids the insurance on the item.

When paying via PayPal always pay via Goods and Services. Yes the seller will have to pay a small fee, but you gain protection should the item fail to arrive or is damaged on arrival or not as described. You lose all of that protection if you pay by ‘Friends and Family’ It is important that the seller pays the fees, they can’t ask the buyer to pay the fees on top of the item price as it is against the PayPal terms and conditions to do that.

Timely communications help both the buyer and seller. Don’t advertise something if you are about to go away on holiday and you don’t have the item with you! Delays in replying lead to suspicions that the buyer has been scammed. Keep your communications simple, remember the other party might not speak/read your language.

The overall success of your sales is dependent on many factors. Get it right and your item will sell quicker than you imagined, you will not be stressed out by the experience and you will get a great item for the money or the money if you are selling to spend on another item.

Good luck.

Guest Post - Functional planning thread on Facebook by Jane

Thank you Jane for creating this wonderful thread in the Filofax for Philofaxy Fans Facebook group.

The great thing about our planner community is the diversity of planning approaches. Some folks are energized by stickers and decorations; others are distracted by them. I fall into the "squirrel" camp: if you put a pink neon glitter heart on my to do list, I will stare at the magical sparkles...and not complete my tasks! Plus, I know a lot of folks say they aren't "artistic," and actually beat themselves up (newsflash: don't waste your time berating yourself! Instead, you can be a productivity ninja in your own unique and wonderful way!)

Here is a list of fabulous resources that have really helped me over the years, in no particular order, except the first website.

At this point, I feel as if I should mention I'm a minimalist, so I'm obsessed with streamlining my entire life. Fawn is a mother of 5 who single-handledly raised her children. My FAVORITE thing about her is this quote: "I'm a big fan of doing what works." Duh! I know I completely overthink/plan/analyze everything, especially my planner. Fawn's simple system might help you focus on basics: Organizing: How To

George Redgrave is an amazing Filofax user I found on Flickr. I harassed him for so many years, he finally agreed to write an interview for Philofaxy, and his photographs are STUNNING:
Guest Post: The Filofax that started it all - Jane

Patty Gardner is freaking brilliant. She offers loads of creative solutions to everyday problems, including if your planner isn't working at work and a simple alternative:
Unfortunately the link listed in the FB post doesn't work anymore as Home Makers Daily is sadly no longer there, but you can visit Patty's other site at Planning With Patty

This website is VERY different from your everyday planner guide, but I rocked this system for 1.5 years when I was an elementary librarian: Rhodia + GTD. Kenji Ohta, a Japanese game designer, created a game where you use small slips of paper (post it notes, index cards, whatever) and choose when you will do different tasks based on Today, this Week, this Month, Hold/Waiting, or Someday/Maybe: GTD + R :: Getting Things Done + RHODIA

Check out these to do lists, which to me look like art (I wish I could write that tiny!!!)
Mrs. Easton to do lists

This article is geared for a specific notebook, but let's face it. All of us, even me the minimalist, have more than one planner and you can use a planner for a notebook. I LOVED the very first comment at the bottom of the article--actually, his words echoed more in my head than the article. Don't want to keep a pile of spirals? Use dividers or tabs in your planner:
Why You Need to Keep a Notebook

The following are two beautiful ideas for recipe planning:
A. This one is for couples without children (the gal just makes 3 meals a week and they eat leftovers. A family of 3 might be able to do this, but certainly not more!) THIS IS SO ELEGANTLY SIMPLE, I LOVE IT! And she mentions she makes different grocery lists for different places, so when she makes that blog post, I'll add it: Weekly Food Planning 1: Planning before you go shopping
B. This one is for creating a recipe bank in your planner!!!
MEAL PLANNING REVISITED – HOW TO BUILD A RECIPE BANK

Book
Time Management for Unmanageable People by Ann McGee-Cooper is great for right brain thinkers and offers a few non-conventional ideas for people who have no concept for time (ahem, me.)

Right now, I'm personally learning all about the Franklin Covey system. I'm amazed at how their entire system sews seams from one area of your life into another so there are no cracks for things to fall into: Use of the Franklin Planner - My System after 25 Years of use

Back when Jennifer Ross was OrganizedLikeJen, her simple system taught me how to take an end goal, break it down, and then work the different steps so you have achieved it. ( 13 min. 30 seconds) To-Do List System & Project Management Update
and an actual planning session of Jen's is pretty interesting: ( less than 9 min. ) My Planning Sessions: How I Use My Planners (2014)

This wacky guy offers a bare bones method of making a task list: To-Do List Hack
This color coding video is freaking brilliant by Annie Smith: Color Code in Your Planner (Franklin Covey, Filofax, Color Crush)

Any video by Joshua La Porte. I'm serious, watch them all. He will educate you and then, BOOM! Drop a one liner that will make you spit out your coffee! Here is his video for how he rocked a Filing Cabinet before the term was even invented: my new filofax setup

Zandranna shows off her very functional pocket in this video, and urges "Oldies" to use a Filofax (her word, not mine). Her other videos are very creative, and worth a look--she shows you how to make a divider tab with pockets not needing any tape! Oldies Can Make Use of a Filofax Too

Chris Kyle has invented an incredibly simple and effective system called Strikethru. (Thanks for sharing this, Anita!) If we compare planning styles to movie genres, pretty planning is Bollywood, while Strikethru is film noir: Strikethru

Cori at YouTube Channel TalesfromaPolkCountyGirl has some really great content including goals setting--she mind maps them out then lists them and puts the list right in front of her desk. Her method for tracking completed goals is so simple, it's brilliant (Goals Update January 2016)
modified bullet journaling (which is so simple, you aren't fussy with the system, you're getting things done!) (May 2015 Bullet Journal) and shows how you can actually fit different page sizes into different planners without having to punch new holes! Filofax and Mini Flex Hacks

Not sure how long ago I found this, but Rhomany's Realm (the founder of One Book July) has a ton of excellent videos. This one, on how to use a brain dump is simple and keeps you from re-writing things: https://www.youtube.com/watch?v=kXUjQFytc-k&t=1512s ANY of her videos are fantastic and focus on functional planning.

Strikethru system is a simplified Bullet Journal option, using a calendar, vault (reference), Brain Dump, and you focus on what needs to be done now with the Live List section. https://www.youtube.com/watch?v=b-Zukikrw_Q
Valerie Brown doesn't have many videos, but the ones she has are super quality, and on taking a ready-made system and customizing it for your needs. She has a simplified Franklin Covey system, where she uses her own print-outs in an extremely budget friendly and printer-simplified method. https://www.youtube.com/watch?v=wYQHFHvM--A&t=775s
Megan Rhiannon is an amazing young woman and her workhorse bullet journal planner videos are fantastic. Her emphasis is on keeping things simple so she can be productive while finishing her degree at Cambridge. Here are my top 3:

Philofaxy and Filofax in other places

I hope to be able to share with you all the various places on the web where you can discuss and share your love of Filofax personal organisers. Some of them you might already know about others might have been hidden.

Facebook: Love it or hate it there is a lot of Filofax/Philofaxy activity on Facebook
Note: Posts from a Facebook page will appear in your time-line, were as a Facebook Group you will either get notifications of new posts or you will have to check the group for updates.

Before leaving Facebook here are some other notable pages you should consider 'liking'
  • Filofax - This is the UK page. They had a phase of filtering the content so it was only viewable by people in UK, but it seems that it has been restored at last!
  • Chimwemwe - See the work your donations are contributing to. They deserve more of your likes....
Google Plus - We have a page there too...
Instagram - MrPhilofaxy is very active on Instagram

Yahoo Groups: For those of you that prefer discussion via email or email digest there is:
  • Filofax - A group I took over many moons ago, it is very dormant these days though.
  • Time and Life Management Solutions - This group started out of various interpersonal dialogues on the Philofaxy website and beyond, and exists to provide an easy exchange forum for tips, tricks and ideas on time management generally.
Twitter:
  • Philofaxy - The main Twitter feed for Philofaxy
  • SteveMorton - Me... obviously! Filofax mutterings and other tech stuff.
  • Filofax UK - 'The official Filofax' twitter stream
Flickr - There appears to be quite a lot of duplication of Filofax groups on Flickr, here are some of the main ones I know of, but a search on the site will unearth dozens of others...
You Tube for your video delights.
  • Philofaxy - Instructional videos and video reviews
Note most Filofax tagged videos are included in Webfinds if their content actually contains Filofax personal organisers... not all do!

News Update - August 2011

Just a quick news update today. The weather is back to being hot and sunny here, as we would normally expect in August, so I've been outside most of today.

Filofax UK have set another challenge for Fashion Photography bloggers on Facebook. You will be able to see the submissions on their Facebook page, it will be interesting to see what sort of pictures they submit... might learn something myself even!

I would also take this moment to thank one of our readers Gerard who has been slaving away recreating Filofax templates for our Files page.  Here is a full list of them:

Personal Pages using Pre-punched A4 Filofax Computer Paper (all in pdf format)

As new files are added they will appear on the files page, with a brief update in the side bar as to what is new. Once again thank you Gerard.

Also new on the files page are some Personal Size Weight Watchers pages sent to us by Natalie, thank you also:

  • Weight Watchers 1 - .doc
  • Weight Watchers 2 - .doc
  • Weight Watchers Notes - .doc
Hope you are enjoying some sunshine, where ever you are.

Facebook - Filofax Club, Vintage Filofax Users Group

A new page appeared on Facebook this afternoon. 'The Filofax Club' take a look and if you 'like' the page, when you introduce yourself, please mention that you saw the link on Philofaxy.

I'm not sure who is behind the 'Filofax Club', but they look like a fun bunch of people and they also seem to be very active on Twitter too.

Also new on Facebook this week is the Vintage Filofax Users Group, lots of great photos of 'vintage' Filofax organisers with links to catalogues etc. No it doesn't mean that the users in the group are Vintage themselves !!!! So the group is open to everyone....

Philofaxy of course still has it's own Facebook page....

Facebook

Philofaxy now has a 'fan' page on Facebook why not become a fan.

Like our Twitterfeed we will publish announcements about new articles on Philofaxy. But you will also be able to have discussions and upload photos as well.

As with all of these social media things it might take us a little while to find the right settings/balance. But don't fear we aren't diluting our attention away from the blog, just spreading the word around in to more areas.
