Adobe HR Automates Document Processes with Adobe Sign
As part of a multi-year initiative, Adobe has established an innovative program whereby they deploy and use their own products in various departments throughout the organization. IDC recently explored how the company’s global HR department implemented Adobe Sign to streamline and completely digitize document workflows.
Here’s how they did it. About two years ago, Adobe started a project to implement Workday as a single platform in conjunction with moving towards using a SaaS provider and away from on-premises software. Adobe HR used the new platform along with Adobe Sign to create an entirely new electronic transaction process for hiring and onboarding candidates and new hires. The process includes applications for a wide range of documents such as telecommuting agreements, relocation agreements, equity grants, and LOA documents. The new approach bypasses Adobe HR’s legacy paper-based methods of making an offer of employment. The end result is cost reduction, time savings, and new efficiencies.
Making the transition took about three weeks to complete. Mason Stubblefield, VP of Rewards, Technology and Global Operations, told IDC that the response from candidates was very positive. He also commented that “The cost savings include productivity benefits from a staff perspective; and the money saved on shipping and mailing costs is huge, depending on the volume of hiring. There are also significant benefits in terms of paper and document storage. We’re hiring several thousand people a year so the new system has paid for itself many times over pretty quickly.”
Mason also noted that, before implementing the new process, Adobe did a cost/benefit analysis that was keyed to transaction volume. The next step was to take a close look at business processes to make sure they were streamlined in advance of automation. Once that was completed, the solution was implemented. In terms of measuring business outcomes, Adobe reports the following:
- 55 percent of external offers are now signed within 24 hours
- 78 percent of internal offers are signed within 24 hours
- 28 percent of external offers are signed within an hour
- 15 percent of internal offers are signed within an hour
Overall, the implementation saves 31 percent of HR staff time — a huge impact from a productivity perspective for the entire HR team.
